Designed around tenant separation and controlled access
SponsorAssist uses a multi-tenant architecture with organisation-scoped workspaces, role-based access and server-side checks around tenant document access.
We deliberately avoid broad claims such as “zero trust”, “Home Office approved” or guaranteed compliance. SponsorAssist is an independent software platform designed to support internal sponsor-licence administration.
Tenant-isolated organisation workspaces
Application records are tenant-scoped and document access is checked against the authenticated organisation workspace.
AES-256-GCM encrypted document storage
Stored tenant documents use authenticated AES-256-GCM encryption. The supplied application logic is designed to fail closed when the required encryption configuration is unavailable.
Authenticator MFA for the organisation administrator
The organisation administrator account uses authenticator-based multi-factor authentication. Staff MFA can also be enabled or enforced by the organisation administrator.
Controlled document access and activity logging
Server-side access checks restrict tenant document access, and document access activity is logged by the application.

the Localised Edition is a separate customer-hosted deployment with its own feature set and should not be treated as feature-identical to SponsorAssist Cloud. Xero, QuickBooks and Sage payroll API integrations are Cloud-only and are not included in the Localised Edition. Ongoing support, later platform upgrades, backup arrangements and Cloudflare administration are separate from the one-time software licence and initial setup unless expressly included in an agreed support arrangement. Is SponsorAssist a replacement for the Sponsor Management System?
No. SponsorAssist is independent software for internal compliance administration. It does not replace the Home Office Sponsor Management System, prescribed Right to Work checks, official guidance or professional legal and immigration advice.
What does the employee limit mean?
The plan limit refers to active employee records in the organisation workspace. It is not limited only to sponsored workers, because the platform can also hold broader workforce and Right to Work records.
How do the Cloud payroll API integrations work?
In SponsorAssist Cloud, the platform securely connects to the organisation's supported Xero, QuickBooks or Sage account using tenant-specific OAuth or provider connectivity. An authorised administrator can initiate supported payroll synchronisation so relevant pay-run and payslip data can be used within the Cloud payroll and compliance workflow. These payroll API integrations are not included in the Localised Edition.
Does SponsorAssist automatically guarantee sponsor compliance?
No software can responsibly guarantee compliance. SponsorAssist helps organise records, identify evidence gaps, sync and review payroll evidence and support internal compliance workflows. Your organisation remains responsible for its legal and sponsorship duties.
Does SponsorAssist Cloud support manual payroll evidence review?
Yes. In the Cloud edition, the platform includes payslip OCR processing, BACS evidence workflows, salary history and monthly salary / payslip / BACS comparison to help identify matched, partial or review-required periods alongside the supported payroll API integrations.
How does the one-month Cloud free trial work?
Cloud Starter, Growth and Professional include one full calendar month free, available once per organisation. The organisation sets up its Direct Debit mandate when starting the trial, but no subscription payment is taken at that point. The first annual subscription payment for the applicable employee-capacity plan is scheduled after the full calendar-month trial ends.
Can we choose a customer-hosted Localised Edition?
Yes. The Localised Edition is available for organisations that prefer the primary application database and document storage on customer-designated hardware. It includes local browser access and native employee self-service, with optional secure remote access through a configured Cloudflare Tunnel. It is a distinct deployment with its own feature set and does not include the Xero, QuickBooks or Sage payroll API integrations available in SponsorAssist Cloud. The one-time software licence and initial setup fee is £998; ongoing support, later upgrades, backup arrangements and Cloudflare administration are separate unless included in an agreed support arrangement.
